CertMate + Work Flow Trade: Certificates That File Themselves on the Job

Work Flow Trade is New Zealand job management software for trade businesses: jobs, quotes, scheduling and invoicing in one place. CertMate is where the compliance paperwork gets done on site. Until now, the two lived side by side, which meant typing the same customer and address into a certificate that was already sitting on the job, then downloading the finished PDF and uploading it back onto that job by hand. The new integration removes both steps.

How it works

When you start a certificate, CertMate shows a "Find a Work Flow Trade job" search box. Type the job number (for example 4224 or #4224), the customer's name or part of the address, and pick the right job. CertMate fills in the customer name, phone, email and site address straight from Work Flow Trade, and the certificate is linked to that job.

When the certificate is signed off and generated, the finished PDF is attached to the job's Documents list in Work Flow Trade automatically, named with the reference and certificate type so the office can find it at a glance. If you amend a certificate later, the updated PDF goes up as a new file with the date and time in its name, so both versions stay visible on the job. The same works for test sheets, emergency lighting documents and HVAC documents, not just certificates.

Only the job you pick is ever read. CertMate doesn't pull your whole customer list across or change anything else in Work Flow Trade, it just reads the selected job and adds the PDF.

Connecting it

In Work Flow Trade, an owner creates an API key under Account Settings → Integrations → API keys, with Full access. Paste it into Integrations in your CertMate settings and you're connected. The key is encrypted before it's stored, CertMate never sees your Work Flow Trade login, and you can revoke the key in Work Flow Trade at any time.

One thing to know: Work Flow Trade accepts PDFs up to 10 MB. Most certificates are well under that, but if one with a lot of site photos goes over, CertMate tells you, and you can download the PDF and add it to the job yourself.
